How to Prepare a Building Material RFQ in Qatar

A supplier can respond faster and more accurately when the enquiry defines exactly what is required, where it is needed and how the offer should be presented. Use this checklist before sending a building-material RFQ or BOQ in Qatar.

1. Identify every item precisely

Start with the exact item name and intended application. A description such as “valve” or “cable” usually creates another round of questions; include the type, size, rating, material, finish and other parameters that control selection.

Where a project specification, drawing, approved vendor list or previous approval governs the item, reference the relevant document and revision. If an alternative may be considered, state that clearly instead of assuming it will be accepted.

  • Item name, category and intended use
  • Size, grade, rating, standard, colour or finish
  • Preferred manufacturer, model or approved equivalent rule
  • Drawing, BOQ or specification reference and revision

2. Confirm quantities and units

List one measurable unit against every quantity: piece, metre, square metre, cubic metre, kilogram, set, box or another suitable unit. Separate different sizes or specifications into individual line items so they can be priced and compared correctly.

If the final quantity is not yet frozen, mark it as an estimate and explain whether the quotation is required for budgeting or immediate purchase.

3. State the project and delivery requirement

A complete delivery brief helps the supplier check availability, transport, site access and lead time before submitting an offer. Include the project location, required date and the person responsible for receiving the material.

  • Site timings, access, unloading and vehicle restrictions
  • Whether delivery, offloading or collection must be priced

4. Define the required submittal documents

Documentation varies by client, consultant, material and project. State what must accompany the quotation and what will be required before purchase, rather than requesting “all documents” without a defined review purpose.

  • Technical data sheets and product catalogue
  • Country of origin and manufacturer details
  • Test reports, certificates or warranty information when required
  • Material sample, colour chart or method statement when applicable

5. Make commercial comparison easier

Ask every bidder to respond in the same line-item order and to separate price, delivery, validity and exclusions. This reduces hidden differences and makes the technical and commercial review more reliable.

  • Unit price, total price and applicable taxes
  • Stock status, lead time and quotation validity
  • Payment and delivery terms
  • Clearly identified deviations, alternatives and exclusions

Final check before sending

Attach the latest files, confirm that item references match the BOQ and provide a realistic response deadline. The project specification and consultant or client requirements remain the controlling documents; clarify any uncertainty before ordering.
